Manage Workspaces

This feature is available in Orchestrate from the release version v3.4.1 and later.

The Workspace Management feature will be available only if the workspaces are enabled in Orchestrate by your administrator. For more information on enabling workspaces, see Configure General Settings.

By default, the details of the first workspace will be available in the workspace management. Your first workspace can be identified with the workspace ID WS1. You can edit the details of the first workspace to add allowed user groups, mark the workspace as either restricted or keep it unrestricted, and add approver user groups.

Create Workspace

You can create workspaces in Orchestrate to maintain separate work environments for managing playbooks, apps, and other resources. You can specify the user groups that can use this workspace and choose to keep the workspace either restricted or unrestricted.

Note

You can create a maximum of 10 workspaces in Orchestrate.

Steps

To create a workspace in Orchestrate, do the following:

Once you have created a workspace, you cannot deactivate or delete the workspace.

  1. Go to Admin Panel > Workspace Management.

  2. Click Create Workspace and enter the workspace title. For example, Development. You can enter a workspace title with a maximum of 50 characters.

  3. Enter the workspace description. You can enter a workspace title with a maximum of 50 characters. It is recommended to add a relevant description for the workspace as administrators can use this for their reference.

  4. Select the Allowed User Groups. Users from these groups can apply the configured permissions of the user group to work with the playbooks, apps, and other resources in this workspace. You must select at least one user group as an allowed user group. You cannot select an inactive user group as an allowed user group.

  5. You can choose to enable Request approval to publish playbooks to this workspace. By default, this option is disabled.

    • If you enable this option, then the workspace is marked as restricted. A workspace marked as restricted requires approval to publish playbooks to that workspace. For more information on publishing a playbook to a restricted workspace, see Publish Playbooks to a Restricted Workspace.

    • If you do not enable this option, then the workspace is unrestricted. Playbooks can be published without approval to this workspace. For more information on publishing a playbook to an unrestricted workspace, see Publish Playbook to Unrestricted Workspace.

  6. (If the workspace is restricted) Select the Approver User Groups as either the same as the allowed user groups or manually select the approver groups. Users from these groups can approve or reject the request to publish playbooks to this workspace

    Note

    If you have raised a request to publish a playbook to a destination workspace, then you cannot self-approve the request. Other approvers from the approver user group can approve the publish request.

  7. Click Create.

View Workspace Details

The listing page of the workspace management displays the following details:

  • Workspace ID: Displays the unique identifier of a workspace. The workspace ID is generated sequentially on creating workspaces. For example, WS1 indicates the workspace ID of the first workspace.

  • Title: Displays the title of the workspaces present in a Orchestrate instance. For example, Development.

  • Allowed User Groups: Displays the user groups that can apply the configured permissions of the user group to work with the playbooks, apps, and other resources in a workspace. For example, if a user group namely the Analyst Group has permission to create playbooks and run playbooks, then the users from this group can create and run playbooks in the workspace.

  • Restricted: Displays whether a workspace is restricted or unrestricted. A workspace marked as restricted (with a checkmark) requires approval to publish playbooks to that workspace.

  • Approver User Groups: Displays the user groups that can approve or reject the request to publish a playbook to that workspace. For example, a user group named Senior Analysts Group can review and approve the publish requests.

  • Created: Displays the timestamp when the workspace was created. For example, Apr 4, 2023 05:19 PM.

  • Created By: Displays the name of the user who created the workspace. For example, John Doe.

Update Workspace

You can update the workspace details such as a workspace title, the allowed user groups, and more.

Steps

To update the details of a workspace in Orchestrate, do the following:

  1. Go to Admin Panel > Workspace Management.

  2. Select a workspace and click Edit.

    Note

    If the playbooks are under review for publishing to the destination workspace, then you cannot uncheck the Request approval to publish playbooks to this workspace option. Playbooks currently under review must be approved before you clear the checkbox for approval to publish playbooks.

  3. Click Update.
