View and manage the knowledge repositories in the Member Portal. You can store media and other files in these repositories.

Doc Library

The Doc Library is a secure place to store text, image, and video files where analysts and members can store important files and download them from the web and mobile platforms. Analysts can grant access to documents only to specific groups and assign TLP suggesting the sensitivity of the concerned data. This facilitates the easy access and sharing of files and documents within the organization for optimal productivity.

Using the Doc Library:

  • Analysts can create a folder structure, organize content in the Analyst Portal, and share important documents, files, or attachments with members in the Member Portal.

  • Analysts can define access and restrict permissions using recipient groups for the information included in the doc library. This enables a group of members to access certain specific files while they are restricted access from others.

  • Analysts can include attachments from the Doc Library in alerts.

  • Members can access information or files shared by analysts.

Create a Doc Library Folder

Create a folder in the Doc Library to organize your content, and share them with members. To create a Doc Library folder, do the following actions:

  1. Navigate to Main Menu in the side menu bar, and click Doc Library.

  2. Click New Folder.

  3. Enter a folder name and description.

  4. Select User Recipient Groups who can access this folder.

  5. Click Create.

Upload a File to the Doc Library

Upload files to the Doc Library and share them with members. You can upload the files to a folder or without a folder. You must have access to the folder to upload a file to it.

Before you Start

  • To allow members to upload files to the Doc Library, the setting Allow Members to upload files to Doc Library in Management > Configuration > Mobile App/ Web Portal in CSAP Analyst Portal must be set to Yes. For more details, see Configure Mobile App or Web Portal Preferences.

  • The recipient group that members are part of must have Doc Library Upload permission.

Steps

  1. Go to Main Menu and select Doc Library.

  2. Click Upload File.

  3. Click Browse File from Computer and select a file to upload.

    • The file name can include these characters (A-Z), (a-z), (0-9), (), [1, {}, ( -), and (_).

    • Supported file formats are .pdf, txt, .doc, .docx, .csv, .xls, xIsx,  .ppt, .pptx, jpg, jpeg, .mov, mp4,  3gp, 3gpp, • yar, m4a, mp3, and .vsdx

    • The file name can have a maximum of 100 characters.

    • The maximum file size that members can upload is configured in the CSAP Analyst Portal. For more details, see Configure Doc Library File Size Upload Limit.

  4. Enter the name of the file and a description.

  5. Select a TLP and associate it with the file.

  6. Choose the User Recipient Groups who can access this file.

  7. Select a tag to associate with this file. To refine your search, you can use the following filter options:

    • Starts With: Shows tags that begin with your input.

    • Exact Match: Shows tags that exactly match your input.

    • Contains: Shows tags that contain your input anywhere within the tag name.

  8. Click Upload.

Manage Doc Library Files and Folders

View and manage the Doc Library files and folders.

  • All: Displays all folders and files in the Doc Library for your organization.

  • My Files & Folders: Displays Doc Library folders and files that you have created.

  • Shared with me: Displays Doc Library folders and files that are shared with you by other users.

  • Starred: Displays Doc Library folders that you have starred to indicate that they are your favorite or that they are important. To add a folder or file to your favorites, click the star icon to the left of the folder or file. The Starred tab then displays that folder or file.

  • The Doc Library listing has the following columns:

    • Starred: View whether you have starred the file or folder. Click the star icon to mark or unmark it.

    • Type: View whether the item is a file or a folder.

    • Name: View the name of the file or folder.

    • Size: View the size of the uploaded file.

    • TLP: View the TLP associated with the file.

    • Owner: View the owner of the file or folder. This column is visible based on the configuration in the Analyst Portal.

    • Tags: View the list of tags associated with the uploaded file.

    • Last Modified: View the date and time the file or folder was last updated.

    • Actions: Hover over the file or folder to view the available actions that can be taken on the file or folder. Use the following information:

      • Download: Click Download to download the required files to your computer.

      • Preview: Click Preview to view the files or attachments. You can preview files up to 60 MB in supported formats. If your browser does not support the file type or the file is too large, the preview will not load, and the file will be downloaded instead. The supported preview formats for most browsers are .pdf, .txt, .jpg, jpeg, .png, .mp4, .json, and .xml.

      • Copy Link: Copy the link to share files and folders directly from the Doc Library with other members of the Member Portal. Members must be a part of the recipient groups tagged to the files and folders to view it.

      • View Info: Click to view additional details about the file or folder.

  • Click Filters to filter documents and files that are available in the Doc Library. Filter documents according to file formats, tags, TLP, uploaded by, uploaded date, name, size, recipient groups, and starred status.

View Network Advisories Folder

Note

This enhancement is available in v3.8.6 onwards.

View attachments from alerts received in the Network Advisories tab and categorized as Partner Advisory in the Network Advisories folder. You can also view the subfolders for each information source you have access to, storing attachments from the alerts they publish. To access the subfolder of an advisory, an analyst must assign your recipient group to the advisory provider.

Access Knowledge Base Articles

The Member Portal consists of the Knowledge Base which allows you to store and share documents and materials such as policies, guidelines, handbooks, and standard operating procedures. Members belonging to the appropriate recipient groups can access this information and use it as part of their daily activities.

Note

The analysts share the Knowledge Base articles with members through recipient groups. You can only view the articles that are shared within your recipient group.

To access the Knowledge Base articles from the Main Menu, click Knowledge Base.

  • The left-hand menu displays a list of Knowledge Base categories sorted alphabetically. If there are any sub-categories configured by administrators, they are nested under their respective parent categories.

    You can click an article to view the associated content.

  • Click Search to search for a specific Knowledge Base article.

  • Use Export to download a PDF of the article for offline analysis.

  • Every article has an ID and a unique URL associated with it. Click Copy URL and share the URL or include it in your intel submissions.

View Member Directory

The Member Directory provides a list of members across all recipient groups you are part of in the Member Portal. You can use the directory to view member details and to initiate actions like sending emails, starting discussions on Messenger, and copying the email address.

To view the Member Directory, click the side menu bar in the Member Portal, and click Member Directory. Click the member profile to view the information. The member profile list displays the following information:

  • Filters: Filter member information by member name, location, and organization.

  • Name: Displays the name of the member, as configured in Profile Settings.

  • Title: Displays the title of the member, as configured in Profile Settings.

  • Organization: Displays the organization the member belongs to, as configured in Profile Settings.

  • Location: Displays the location of the member, as configured in Profile Settings.

  • Actions: Hover over the member profile and initiate the following actions:

    • Email: Send an email to the member.

    • Chat: Initiate a direct discussion with the member.

    • View Profile: Displays a detailed view of the member profile.

    • Copy Email Address: Copy the member's email address to your clipboard.

View Organization Directory

The organization directory contains the list and details of all organizations within the Member Portal. You can view the organization details such as name, level, license usage, headquarters location, and total members. You can view this feature only if it is enabled for you. For assistance, contact your Collaborate administrator.

Note

 Only member admins and sector admins can view the Organization Directory in the Member Portal. 

To access the directory, go to Main Menu > Organization Directory. Use the following information while viewing and managing the Organization Directory:

  • Use Search to look for organizations based on your preference.

  • Select an organization and view the list of its members.

  • You can view the details of the members such as name, email, title, role, and contact information.

  • Select a member from an organization to perform one of these actions:

    • Click Email to write an email to the member.

    • If Messenger is enabled for you, you can click Chat to open Messenger and start a direct discussion with the member.

About

In this section, you can access details about your organization or network, such as a brief overview, vision, and mission statements, contact information, and more. Analyst users actively manage this information through the Analyst Portal. For more information about this, contact your administrator.
